OVERVIEW
The primary responsibility of the Office Coordinator is to ensure smooth and efficient office administration and hospitable venue rental experiences.
ESSENTIAL RESPONSIBILITIES
OFFICE OVERSIGHT

Database management and maintenance (The Hub): Includes processing Connection Cards, update attendance, add areas of ministry interest into the queue, add first and second time guests, and other information as part of Monday administration needs.

Serve as the Staff Liaison for the Weekend Prep and Monday Administration LIFE Teams.

Assemble weekly LIFE Notes. This includes collaborating with the Creative department, printing, cutting, and hole-punching weekly LIFE Notes. Assemble additional notes and programs for large events when needed.

Regularly inventory, replace, and organize supplies in office storage areas and order office supplies as necessary.

Monitor the info@tlcc and serve as administrator for all TLCC Zoom accounts.

Monitor printer supplies and postage meter. Replace toner as needed, reset and correct errors, and troubleshoot problems in coordination with contracted companies.

Oversee general cleanliness and organization of staff kitchen and lounge, as well as maintain regular inventory of hospitality items available to staff.

Provide monthly expense reports to the Finance department in a timely fashion.

Coordinate with respective TLCC Executive Assistants to arrange hospitality for various staff events. Organize ordering, purchasing and catering for monthly staff team training. Set up and clean up for monthly staff team trainings.

Coordinate laundering and maintenance of tablecloths after large events.

Manage and distribute cell phone list and extension list for staff team members.

Provide administrative support for Church-wide events throughout the year.
FINANCE AND HUMAN RESOURCES

Maintain finance and HR office files.

Handle and direct mail in contributions.

Prepare weekly Life Café and Resource Lounge bank.

Set-up candidate interviews.

Assist supervisor with additional projects and tasks as needed.
VENUE RENTALS AND WEDDINGS

Review new venue rental and wedding request forms and contact inquiring parties within two business days.

Serve as point person for facilities rentals, including meeting with renters, establishing rental contract, securing internal staff and volunteers, and reserve rooms and equipment.

Periodically review current facilities rental process and suggest improved processes, to include pricing, rental process, marketing, and serving.

Serve as primary contact for all wedding inquiries at TLCC, including initial contact, informing engaged couple of TLCC process, requirements and pricing, conducting wedding rehearsal and preparing wedding ceremony timeline for officiant, assisting officiant and upholding protocol and policies for weddings held on-site at TLCC.
QUALIFICATIONS

Passion for administration and relationally gifted

Proficient computer skills and in-depth knowledge of as Microsoft Office Suite

Knowledge of standard office administrative practices and procedures

Ability to multi task with competing deadlines

Ability to manage sensitive matters and information

Ability to anticipate needs based on upcoming events

Experience with event planning a plus

Willingness to work during special events when needed
